Recording of phone conversations
Incoming calls will be recorded and stored for documentation compliance, clarification of agreements, quality assurance, or conversations with RTC Transport A/S customer service (hereinafter “RTC”, “we”, and “us”).
Purpose and legal basis for recording and storing phone conversations
Phone conversations are recorded and stored for quality assurance and to document the content of our phone communication with you, and are used for the purposes specified below:
We record and store phone conversations to document what was said, happened, and agreed during the conversation, in accordance with Article 6(1)(f) of the General Data Protection Regulation (GDPR).
Types of personal data
We process the following personal data:
- Name
- Order number
- Your voice
In certain cases, we also process:
- Your address
- Health information
Use of individual recordings in specific cases
We may listen to recordings to investigate specific cases, such as clarifying doubts about agreements, complaints from you, security incidents, including cases of threats against you or RTC employees, in accordance with Article 6(1)(f) and Article 6(4) of the GDPR, and Section 5(2) of the Data Protection Act.
Notification of recording
When you call RTC, you will be informed that the conversation is being recorded. If you do not wish the conversation to be recorded, you must contact us in another way, such as by emailing our customer service at kundeservice@rtctransport.dk.
Storage and deletion of your personal data
We store phone conversations recorded for use for 1 month, in accordance with Article 6(1)(f) of the GDPR. Thereafter, they are generally automatically deleted on an ongoing basis, in accordance with Article 5(1)(e) of the GDPR.
If a recording is included in a specific complaint or claim case, the conversation will only be deleted once the case(s) or incident(s) are finally concluded in accordance with the limitation rules, in accordance with Article 6(1)(f) of the GDPR.
If the recording relates to several different purposes, it will be stored in accordance with the longest retention period.
Right to object
You have the right to object to our processing of your personal data in connection with the recording of phone conversations pursuant to Article 21 of the GDPR. This applies, among other things, when we have recorded the conversation based on our legitimate interests, in accordance with Article 6(1)(f) of the GDPR.
